Most office incidents are preventable. Use structured steps instead of ad-hoc sharing.
Before sending
- Confirm recipient list and remove unnecessary CCs.
- Confirm document purpose and remove extra pages.
- Scrub with
/scrub, then open the output and verify content.
During sending
- Prefer direct secure channels over public links.
- Add expiry and access limits when using portals.
- Keep subject lines neutral and non-identifying.
What this does not protect
- Data copied into email body text.
- Misconfigured permissions in external sharing tools.
- Existing logs in enterprise tools you do not control.
